How It Works

Handled, from hello to home again

Working together follows four clear steps: one form, one call, one decision-ready proposal, then a trip that runs itself. You'll always know what happens next, which is exactly how the trip will feel.

01

Start with your vision

Complete the inquiry form with your travel dates, destination ideas, and what you want this experience to feel like. This helps me understand your priorities, preferences, and how you like to travel.

02

Align & strategize

We connect for a call to talk through your plans, refine your vision, and determine the level of support that best fits your trip, so we move forward with clarity and alignment.

03

Design & curate

Once the planning fee is received, I begin designing a curated proposal: destination options, accommodations, and experiences tailored to you.

04

Confirm & coordinate

After your approval, I handle the reservations and key logistics so everything is organized and ready, letting you step into your trip without managing the details.

Client Expectations

A smooth experience starts with alignment

The best trips come from a real partnership. To keep everything flowing smoothly, clients are asked to:

  • Share clear preferences. Travel dates, price range, and anything important to you, so your experience is aligned from the start.
  • Communicate promptly. Timely responses keep planning moving and protect availability for your trip.
  • Stay engaged in the process. Your feedback shapes the design so the experience turns out exactly how you want it.
  • Review and approve thoughtfully. Take time with your proposal so we can refine before booking.
  • Provide required travel documentation. Passport details and any information needed to secure reservations.
  • Confirm final travel details. A careful read of your itinerary before final confirmation keeps everything accurate.

That's the whole ask. I carry the rest.

Common Questions

What does it cost to work with a travel advisor?

Booking a stay you've already chosen is complimentary through my partner network. Designed trips start at $300 for curated selection and $500 for complete travel design. Here are the questions clients ask most.

Your planning fee is paid to Kay Jones Travel once we've aligned on your trip. Your actual travel costs, hotels, transfers, and experiences, are paid to the providers, usually at the property's standard rates, with preferred-partner benefits added where available: daily breakfast, resort credits, upgrades when available, and early check-in or late check-out.

Yes. Premium economy and business-class airfare support is part of Complete Travel Design, and flight guidance is available at every level of service. For retreats, guests book their own flights with my guidance on routes and timing.

For the widest choice of accommodations, 4 to 8 months before travel works well for most trips, and 9 to 12 months for peak-season or multi-destination journeys. Shorter timelines are often workable, so reach out either way and we'll see what's possible.

Travel insurance guidance and coordination is included in the planning process. For retreats, insurance with emergency medical and evacuation coverage is strongly recommended, and I'll point you to appropriate options for your trip.

Yes. Executive and leadership retreats, incentive travel for top performers, and private group journeys are all part of Private Group & Retreat Experiences, starting at $1,500 and quoted individually by scope: destination sourcing, room blocks, guest coordination, and a centralized information hub for your group.

I review your inquiry personally and reach out to schedule a call. On the call we refine your vision and choose the level of support that fits. Design work begins once the planning fee is received, and from there every update comes to you organized and decision-ready.
